Academic / College Credit Course Substitution Process
Degree Audit areas were audited by Internal Audit in the Fall 2005. One of the auditor's recommendations was that all colleges use the same form to approve and process course substitutions. The seven colleges in the DCCCD had seven different procedures for processing a course substitution. In order to improve our services by providing consistency in policy implementation, and treatment to students, the DCCCD Petition for Substitution to Degree Requirements was created and will be used effective Fall 2006. Students may obtain a blank form from many offices: Admissions, Counseling, and Division Offices. The process is as follows: 1. Students may complete the SUB form or it may be completed by a member of the Admissions, Counseling or Division Office staff. 2. Student turns the form in to the Admissions office. 3. Degree Audit Specialist must sign and either make a recommendation or defer to Division Dean. 4. Signature is required of the Division Dean of the department over the student's major. A justification for the approval/denial of the substitution is required. Example: If an Air Conditioning student is requesting to substitute Speech 1311 for English 1301, the Division Dean over Air Conditioning would sign here. 5. Signature is required of the Division Dean of the department where the substituted course is located. A justification for the approval/denial is required. Example: If an Air Conditioning student is requesting to substitute Speech 1311 for English 1301, the Division Dean over English 1301 would sign here. 6. Signature is required of the Degree Audit Specialist when the substitution is processed and entered in Colleague. 7. Student is notified by Degree Audit Specialist of approval/denial of Petition for Substitution.
